Choose a Walk-a-Thon Event Format

A walk-a-thon can use a single-day loop, a distributed date window, a hybrid format, or a flat-gift community walk. Use this page to evaluate how the format changes tracking, participant setup, organizer review, payment timing, platform costs, and reconciliation before choosing software.

Commercial questions to evaluate before choosing software

Event format and activity record. Decide whether the event needs volunteer lap counts, participant-submitted totals, browser GPS, a browser step counter, or no unit tracking. Confirm which methods the platform supports and how organizers review exceptions.

Total cost. Compare platform and payment-processing fees using the same gift and pledge assumptions. Include setup, subscription, contract, add-on, managed-service, hardware, printing, and refund costs that apply to the planned event.

Payment and pledge flow. Confirm who receives or holds funds, when flat gifts are charged, how per-unit payment methods are authorized, when final charges are attempted, how sponsor maximums work, and how failures and refunds appear.

Participant requirements. Check whether participants or donors need an account, native app, supported browser, wearable, email address, payment method, or private tracking link. Document an alternative for participants who cannot use the primary method.

Organizer workload and controls. Review roster setup, team grouping, permissions, display-name controls, result review, finalization, payment reconciliation, failed-charge follow-up, exports, support scope, and contract responsibilities.

How ScanRaise supports the selected format

Standard fundraising has a 2.5% ScanRaise platform fee per donation or completed pledge charge, with no setup, monthly, or contract fee. Stripe processing applies separately and varies by payment method, country, and account.

Organizers can add participants and create individual fundraiser pages, printable QR cards, and private tracking links.

Supporters can make a flat gift or configure a per-mile pledge with a required maximum. Stripe securely saves the payment method without a charge at pledge time.

For tracked formats, participants can use phone-browser GPS or a browser step counter. They may optionally connect Fitbit, review a selected day's summary, and choose whether to import it.

A live campaign display can show current fundraising totals and participant or group standings on an event screen.

After organizer review and finalization, ScanRaise attempts eligible per-unit charges up to each sponsor's authorized maximum. Failed or authentication-required charges remain visible for follow-up.

Single-day Event

Single-day loop event

Use one location and a marked loop with a defined check-in period. Volunteers can count laps, or participants can use an approved tracking method. Plan water, rest, accessibility, weather, and medical procedures for the selected route.

Multi-week Format

Distributed date-window event

Set opening and closing dates so participants can walk on their own schedules and routes. Publish which tracking or manual-submission methods are eligible and how organizers will review results.

Hybrid Event

Anchor day plus remote participation

Combine one in-person event with a separate remote window. Define whether both formats use the same distance unit, how duplicate sessions are prevented, and when organizers will close and review results.

Flat-Gift Format

Community walk without per-mile billing

Accept flat online gifts while participants complete a community walk. This format can use a route and event-day plan without recording units or attempting a later pledge charge.

Corporate office walk-a-thon

A workplace can choose an on-site loop, a distributed date window, or both. Document employer matching rules separately from participant pledges.

School fun-run / walk-a-thon

A school can use a campus loop with volunteer lap review or an approved tracking method. Set limited public display names and follow the school's consent, supervision, accessibility, and safety requirements.

Memorial walk

An organizer can offer one gathering place plus a remote option for people in other locations. State the beneficiary and how gifts will be used.

Cause-specific walks

A nonprofit can use a community route, a flat-gift format, or per-unit pledges. Confirm route permissions, beneficiary details, and accessibility before publishing.

Multi-team relay

Departments, grades, or other groups can report separate totals within one campaign. Publish whether recognition is based on activity units, completed gifts, or both.

Family reunion walk

A distributed format can let family groups participate from different locations. Choose a flat-gift or pledge model and state the recipient before accepting gifts.
